Your rights

1.Right to refuse direct marketing

The registered user has the right to prohibit direct marketing at any time. Every email sent by Ruukki's spinning mill contains a link through which you can directly unsubscribe from the newsletter.

2. Right to check your own data (right of access)

Everyone has the right to know what information about them is stored in the personal register. You can request to check your information by proving your identity.

3. The right to request correction or deletion of information 

The Ruukki spinning mill removes, corrects, and completes incorrect, unnecessary, incomplete, or outdated information at the request of the registered user. 

The registered user has the right to request the deletion of data if the processing of the data is no longer necessary. We will process the deletion request, after which we will either delete the data or provide a justified reason why the data cannot be deleted.

It should be noted that the data controller may have a legal or other right not to delete the requested information. The data controller is obligated to retain accounting materials for the period defined in the Accounting Act (Chapter 2, Section 10), which is 10 years. For this reason, accounting-related materials cannot be deleted before the expiration of the retention period.

4. Right to restrict processing

The registered person has the right to request the restriction of the active processing of their personal data, for example, when they contest the accuracy of their personal data and request the correction or deletion of their personal data. In this case, the relevant personal data may only be stored, not otherwise processed.

5. The right to object to the processing of personal data

The data subject may object to the processing of personal data if they believe that the personal data has been processed unlawfully.

6. Right to transfer data from one system to another

Insofar as the data subject has provided information to the customer register that is processed based on the consent or mandate given by the data subject, the data subject has the right to receive such information in a generally machine-readable format and the right to transfer this data to another data controller.

7. Right to withdraw consent

If personal data is processed based on the consent of the data subject, the data subject has the right to withdraw their consent by notifying Ruukin spinning mill.  

8. Right to file a complaint with the supervisory authority

The registrant has the right to file a complaint with the competent supervisory authority if the data controller has not complied with applicable data protection regulations in their operations.

Please note that proof of identity is required for all inquiries and requests related to the register.

Purpose of personal data usage

Personal data is processed for purposes related to the management, administration, and development of customer relationships, the provision and delivery of services, as well as the development of services and billing. Personal data is also processed for purposes necessary for the investigation of potential complaints and other claims.

In addition, personal data is processed in communications aimed at customers, such as for information and news purposes, as well as for marketing, which includes the processing of personal data for direct marketing and electronic direct marketing purposes.

The customer has the right to refuse direct marketing directed at them.

The data controller processes the information themselves and also utilizes subcontractors who act on behalf of and for the data controller in the processing of personal data.

Processing of personal data

We ensure that we always have a legal basis for processing your personal data.

We primarily process information to fulfill and prepare contracts (e.g., providing and delivering our services, customer management, handling complaints and customer feedback) as well as based on our legitimate interests (e.g., direct marketing to our customers and product development of our services).

With your consent, we will use your email address to send newsletters and marketing emails, or we will process other information based on your consent. If we process your data based on consent, you can withdraw your consent at any time. 

We may also process your data to fulfill legal obligations, such as for accounting and regulatory purposes.

What sources do we collect personal data from?

We collect personal data about you from yourself during contact or purchase transactions. We also collect information at events or training sessions.

We collect visitor data on our website using various tools to analyze and improve our site even further. The information is automatically stored in a registry when the user leaves their details on our website. We also collect anonymized data through social media channels using their own tools. 

Transferring or disclosing information

Primarily, your personal data is processed by the staff of Ruukki's spinning mill in their work. Your data may also be disclosed to our subcontractors and partners based on a written agreement. Our subcontractors and partners process personal data in an agreed manner to promote lawful purposes. Such purposes include, for example, data storage services in data centers and cloud services, suppliers of the IT systems we use, and external services purchased to support sales and marketing.

We may also disclose information in order to fulfill contractual obligations or as required by law or a competent authority. We may also share your information if we are involved in a business or asset sale.

We may disclose anonymized or statistical data that cannot be linked to an individual. If such data is no longer considered personal data, we may share the information with third parties for purposes other than those mentioned here.

Are your data transferred outside the EU?

We use service providers in the processing of your personal data, who may have access to your personal data from outside the EU/EEA, such as Canada. We ensure that transfers are carried out properly and lawfully in accordance with the legislation on the processing of personal data.

We will transfer your personal data outside the EU/EEA area only on one of the legal grounds mentioned below:

  • The European Commission has decided that an adequate level of data protection has been ensured in the recipient country.
  • There is another legal basis for the transfer of your personal data outside the EU/EEA area, such as the Privacy Shield arrangement approved by the European Commission for the United States.
Storage of personal data We will retain your personal data only for as long as necessary to fulfill the purposes described in this statement. Additionally, some information may be kept longer to the extent necessary to comply with legal obligations, such as accounting responsibilities. Unnecessary data will be regularly deleted.
How is your information secured?

We respect the confidentiality of your personal information.

Personal data is protected from external use by firewalls, antivirus software, personal user IDs, and passwords. Access to personal data is granted only to authorized personnel of Ruukki's spinning mill, whose job responsibilities require the processing of personal data.

We only provide personal data confidentially and on a limited basis to our contractual partners, such as our subcontractors, based on agreements. Our contractual partners must commit to implementing adequate data security and to the lawful processing of personal data in all respects. Data processors are bound by confidentiality obligations.

Our website uses a TLS-encrypted HTTPS connection, ensuring that all personal information is protected in electronic form. You can notice this in your browser by the green lock on the left side of the address bar. If the information is in manual form, it is stored in locked facilities away from outsiders and is securely destroyed.

Processing of personal data in connection with payment We may share your personal data in the form of contact and order information with Paytrail during the purchase transaction, so that Paytrail can assess whether you are eligible for their payment methods and customize these payment methods for you. The personal data transferred will be processed in accordance with Paytrail's own privacy policy.
